Policy information · reviewed September 2026
Who this notice applies to.
This notice applies to people who visit the Grupo Gosen website, submit a contact or land-acquisition form, correspond with the group, act for a landowner or professional adviser, or interact with Grupo Gosen in connection with a property, estate interest, tenancy, leasehold matter or other legitimate business activity.
Gosen Group Limited is responsible for deciding how personal information used for these purposes is handled. This notice is intended to explain that processing in plain language. It should be read together with any more specific privacy information supplied for a particular transaction, employment process, tenancy, contract or regulated activity.
If you have a privacy question or wish to exercise a data-protection right, use the website contact form and identify the subject as a privacy or data-protection matter. The policy intentionally uses that central route rather than publishing separate contact details here.

Correspondence & enquiry data
Messages, form submissions, supporting documents, records of requests and information needed to understand or respond to an enquiry.
Property & transaction data

Contract & legal data
Information required to administer agreements, verify authority, manage legal rights and obligations, resolve disputes or comply with law.
Website & technical data
Basic device, browser, page-use, security and diagnostic information generated when the website is accessed, subject to the cookie and similar-technology rules that apply.
Due-diligence information
Information needed for proportionate identity, authority, counterparty, fraud-prevention, risk or professional due-diligence checks where relevant.
Why we use information
Purposes and lawful bases.
Personal information may be used to respond to enquiries; assess land or estate opportunities; administer property, tenancy, leasehold and rights matters; manage professional relationships; enter into and perform contracts; keep business and transaction records; protect property and legal interests; maintain website security; prevent misuse or fraud; and meet legal, tax, accounting or regulatory obligations.
Depending on the activity, the lawful basis may be that processing is necessary to take steps at a person’s request before a contract, to perform a contract, to comply with a legal obligation, or for legitimate interests such as operating and protecting the business, managing owned assets, evaluating acquisitions and maintaining accurate records. Where consent is the appropriate basis, it can be withdrawn for future processing subject to any other lawful basis that remains available.
We do not use website enquiry information to make solely automated decisions that produce legal or similarly significant effects unless a specific process clearly explains that this is happening and provides the information required by applicable law.

- Estate, tenancy and leasehold administration

Sources
Where personal information comes from.
Most information is supplied directly by the person concerned, for example through a form, correspondence, a transaction or an estate-management interaction. Information may also be supplied by an authorised representative, land agent, solicitor, surveyor, accountant, managing agent, tenant, leaseholder or other professional counterparty.
Where relevant to a legitimate business purpose, information can also come from public registers, official records, planning information, property titles, corporate records, publicly available professional information and other lawful sources used for due diligence or asset administration.
If information about you is obtained indirectly and the law requires additional privacy information to be given to you, Grupo Gosen will seek to provide it at the appropriate time or through the relevant transaction or relationship documentation.
Sharing
Who information may be shared with.
Personal information is not sold to advertisers. It may be shared where this is reasonably necessary for a legitimate business or legal purpose.
Professional advisers
Solicitors, surveyors, accountants, tax advisers, planners, environmental specialists, agents and other advisers engaged for a relevant matter.
Estate & property providers
Managing agents, contractors, consultants, insurers, utility or infrastructure providers and others involved in operating or protecting an owned asset.
Technology providers
Hosting, software, communications, security, form-processing, analytics and other service providers needed to operate business systems and the website.
Authorities & legal recipients
Courts, regulators, law-enforcement bodies, public authorities or other recipients where disclosure is required or permitted by law.
Transaction counterparties
Sellers, buyers, lenders, professional representatives and due-diligence parties where information is relevant to a genuine transaction or restructuring.
Business protection
Specialist providers or counterparties where disclosure is reasonably necessary to establish, exercise or defend legal rights, prevent fraud or protect people and property.
International processing
Service providers and transfers.
Some technology or professional service providers may process information outside the United Kingdom or make use of infrastructure located in more than one country. Where personal information is transferred internationally, the group seeks to use an appropriate lawful transfer mechanism and proportionate contractual or organisational safeguards where required.
The fact that a supplier operates internationally does not mean every item of information is transferred overseas. The position depends on the particular service, configuration and matter involved and may change as systems and suppliers are reviewed.
Questions about a particular transfer or service-provider arrangement can be submitted through the contact form as a privacy enquiry.
Retention & security
How long information is kept and how it is protected.
Information is retained for no longer than is reasonably necessary for the purpose for which it was collected, taking account of continuing property or contractual relationships, transaction records, limitation periods, legal obligations, accounting requirements, dispute risk and the need to preserve an accurate ownership or estate-management record.
Different records therefore have different retention periods. A speculative website enquiry that does not progress may be kept for a shorter period than title, tenancy, transaction or property-rights documentation that has continuing legal significance.
Grupo Gosen uses proportionate technical and organisational measures intended to protect personal information from unauthorised access, loss, misuse, alteration or disclosure. No internet or storage system can be guaranteed completely secure, so controls are reviewed in light of the sensitivity and purpose of the information involved.
Your rights
Data-protection rights.
Rights depend on the circumstances and lawful basis. They are not absolute in every case.
Access
You may be entitled to ask whether personal information about you is being processed and to receive a copy together with required explanatory information.
Correction
You may ask for inaccurate information to be corrected and incomplete information to be completed where appropriate.
Erasure or restriction
In qualifying circumstances you may ask for information to be erased or for its processing to be restricted.
Objection
You may object to processing based on legitimate interests in circumstances recognised by data-protection law.
Portability
Where the legal conditions are met, you may have a right to receive certain information in a structured, commonly used and machine-readable format.
Consent & complaints
Where processing relies on consent, you may withdraw it for future use. You may also raise a concern with the UK supervisory authority if you consider your data-protection rights have been infringed.
Privacy questions
Common questions.
How do I make a privacy request?
+
Use the Grupo Gosen contact form and state clearly that the enquiry is a privacy or data-protection request. Provide enough information to identify you and the relevant relationship or matter.
Will you ask for proof of identity?
+
Grupo Gosen may request proportionate information to verify identity or authority before disclosing, correcting or deleting personal information, particularly where a request concerns sensitive property or transaction records.
Is information submitted with a land opportunity confidential?
+
Land and estate submissions are handled as business information and are shared only where reasonably necessary for assessment, due diligence, professional advice, transaction administration or another lawful purpose.
Does this notice cover employee or applicant data?
+
It provides general website-level information. A recruitment or employment process may require additional privacy information tailored to that relationship.

How the legal basis is selected for different activities.
Grupo Gosen does not rely on one legal basis for every use of personal information. The appropriate basis is selected by reference to the purpose of the processing and the relationship involved. For example, responding to a request to discuss a potential acquisition may involve steps requested before entering a contract; administering an existing tenancy or property agreement may be necessary for performance of a contract; maintaining accounting or corporate records may be required by law; and protecting title, property, systems and legitimate commercial interests may rely on legitimate interests where those interests are not overridden by the rights of the individual.
Where legitimate interests are relied upon, the group considers the purpose of the processing, whether the processing is necessary for that purpose and the impact on the individual. Property ownership frequently requires long-lived records because ownership, easements, covenants, leases, overage, rentcharges and other rights can remain relevant for many years. The legitimate interest in maintaining an accurate property record is therefore different from the interest involved in a short-lived website enquiry.
Consent is used where the law requires consent or where consent is otherwise the most appropriate basis. Consent is not used to make a contractual or legal obligation appear optional. Withdrawal of consent does not affect processing already lawfully carried out and does not prevent continued processing where another legal basis applies.
Special categories and sensitive information
Sensitive information is handled only where there is a clear lawful reason.
Most interactions with Grupo Gosen do not require special-category personal data. However, property, employment, accessibility, complaint or safety matters can occasionally reveal health information or other sensitive circumstances. The group seeks to avoid collecting sensitive information unless it is relevant and necessary.
Where special-category or criminal-offence data is processed, Grupo Gosen will identify both an Article 6 lawful basis and any additional condition required by UK data-protection law. Access is restricted to those who need the information for the relevant purpose and additional care is taken over disclosure and retention.
Do not include highly sensitive information in a general website form unless it is genuinely required to explain the matter. If a sensitive issue must be raised, identify the subject clearly so that the message can be routed appropriately.
Property and title records
Some records have a much longer life than ordinary correspondence.
Land ownership can create legal relationships that continue across generations of ownership. A deed, lease, transfer, title plan, notice, licence, consent, overage agreement, rentcharge record, mineral reservation or manorial-right document may remain relevant long after the immediate transaction has completed. Personal data contained in those records can therefore need to be retained for the life of the property interest and, in some cases, beyond it for evidential purposes.
Grupo Gosen distinguishes these enduring records from ordinary enquiries. A general enquiry that does not progress may be deleted on a shorter cycle, while title and estate-management documents can be retained for as long as they are necessary to establish, exercise, defend or administer legal rights.
Where a property interest is transferred, relevant records may also be disclosed to a purchaser, buyer’s advisers, lender, managing agent or other successor where this is necessary for the transaction or ongoing administration and lawful under data-protection rules.
Data accuracy
Property and estate information should remain accurate throughout the relationship.
People dealing with Grupo Gosen are asked to keep relevant contact, ownership and authority information up to date. Inaccurate records can delay notices, consents, payments, estate communications and conveyancing.
The group may verify information against Land Registry records, Companies House information, professional correspondence, contractual documents or other reliable sources where this is necessary to administer a property or transaction.
If you become aware that information held by Grupo Gosen is materially inaccurate, use the contact form and identify the relevant property, transaction or relationship so the record can be located and reviewed.
Extended privacy information
Further privacy questions.
Do you sell personal information?
+
No. Grupo Gosen does not sell personal information to advertisers or data brokers. Information may be disclosed to professional advisers, contractors, transaction counterparties, authorities and service providers where there is a legitimate and lawful reason.
How long are property records retained?
+
There is no single period for every record. Documents that evidence title, leases, covenants, rights, consents or transactions can have long-term legal significance and may be retained for the duration of the interest and an appropriate period afterwards.
Can I ask you to erase a title or lease record containing my name?
+
You can make an erasure request, but the right is not absolute. Grupo Gosen may need to retain information where it is necessary for legal obligations, property administration or the establishment, exercise or defence of legal claims.
How do I contact the company about privacy without using an email address?
+
Use the website contact form, choose or state that the matter concerns privacy or data protection, and provide enough information for the request to be identified and routed.
